Is Multi-Factor Authentication (MFA) Hurting Accessibility?

Multi-Factor Authentication (MFA) has become a standard security measure across many online services. From banking and e-commerce to social media and even public services, MFA is touted as the best way to protect user accounts from unauthorized access. 

But while it undoubtedly enhances security, does it also create unnecessary barriers for users? Is it always necessary, or are some services forcing it upon users purely for their own convenience, without considering the impact on accessibility and user experience?

When Multi-Factor Authentication (MFA) Makes Sense

There are clear scenarios where MFA is beneficial, if not essential. Any service involving financial transactions, personal data, or sensitive information should implement some form of MFA. Online banking, payment processing, and cloud storage services are prime examples. In these cases, an extra layer of authentication—whether a text message, an authenticator app, or biometrics—protects users from fraud, identity theft, and account takeovers.

For these services, the inconvenience of MFA is outweighed by the need for security. A compromised banking account can lead to financial ruin, while an exposed cloud storage service could mean loss of private or business-critical data.

When MFA Becomes a Barrier for Users

In many real-world systems, MFA is introduced without fully considering how it affects everyday users.

However, there are many instances where MFA feels excessive or even user-hostile. Imagine signing up for a public forum, a government website to download a form, or a simple app where security isn't a primary concern. Yet, users are often forced to verify their email, receive a one-time passcode (OTP) on their phone, or even authenticate every time they log in. For some users, this creates friction that can turn them away from the service altogether.

Older adults and less tech-savvy users can struggle with MFA. They might not have a smartphone, may not know how to retrieve an OTP, or simply forget their authentication method. This frustration can push them towards alternative, often more expensive, in-person or phone-based support channels, defeating the purpose of a digital service.

Types of MFA and Their Usability Challenges

MFA can take various forms, each with its own pros and cons:

  • SMS-based OTPs – Convenient but vulnerable to SIM swapping and interception.

  • Authenticator apps (Google Authenticator, Authy, Microsoft Authenticator) – More secure but require setup and reliance on a single device.

  • Biometric authentication (Face ID, fingerprint scanners) – Secure and user-friendly but limited to modern devices.

  • Hardware security keys (YubiKey, Titan Security Key) – Extremely secure but costly and impractical for average users.

For a tech-savvy individual, these options may not seem like a problem. But for someone who rarely uses technology, requiring MFA can feel like an impossible barrier.

Who Really Benefits from MFA?

While service providers claim that MFA is for the user's benefit, in many cases, it’s more about reducing their own liability and costs associated with fraud and account recovery. A locked-out user means fewer support calls for a compromised account, but it can also mean losing customers who simply give up on the service.

Companies should consider whether MFA is truly necessary for their service or if they are implementing it just to shift the burden onto users. If security is critical, they should at least offer user-friendly alternatives and ensure that their support systems are equipped to assist those who struggle with authentication.

Balancing Security and Accessibility in MFA

Security and convenience are often at odds. While MFA undeniably enhances protection, it should be implemented with the user in mind. If a service deals with money, sensitive personal information, or confidential business data, MFA is a must. However, for a simple public registration system with no real security risks, forcing users to go through extra steps every time they log in can feel unnecessary and exclusionary.

Instead of taking a one-size-fits-all approach, companies should:

  • Allow users to opt into MFA where appropriate.

  • Offer alternative verification methods tailored to different user needs.

  • Provide clear, accessible guidance on using MFA effectively.

  • Avoid making security measures so frustrating that they drive users away.

At the end of the day, security should not come at the expense of accessibility. Users are not the problem—poorly implemented security measures are. If a service forces unnecessary barriers on users, it’s not protecting them—it’s just making their lives harder.

My Early Days in Digital Transformation

Starting a new role at Aberdeen City Council felt like stepping into a very different world from the engineering environments I had worked in previously.

Suddenly I was surrounded by digital services, accessibility discussions, web design, smart city ideas, and people trying to modernise large public systems.

So I'd consider myself part of the team now at Aberdeen City Council. I've managed to get into the swing of how things work,

I have lots of new friends and colleagues, and I am really getting into the hot desking. I get to sit at a different desk each day and get to sit with different people most days. Although the folk I work with directly in the Team generally sit in the same area.

Adjusting to a New Digital Workplace

I have had a few days working from home and it's good. Probably the easiest login from home I have ever had or used yet. No hassle, no dongle, no phone app, and no code to remember.

I also found myself surrounded by people who were genuinely passionate about improving digital services and modernising how the council worked.

A couple of interesting tech projects I heard about this week is Smart Benches and City Lab.

Discovering Civic Technology

ACC has commissioned a couple of Smart Benches for Aberdeen City. They are solar-powered smartphone recharging centers in the form of a park bench. So if you are low or run out of charge you can pop by one of the benches, take a load off and recharge your phone. This is a great concept and it will be good to see how they work and are used when installed. I do have concerns about a USB point exposed to the elements but I'm sure that has been thought of.

The other initiative is City Lab, which is run jointly between The University of Aberdeen, Robert Gordon’s University, and ACC. It brings together students, ACC staff, and partner organizations for one term to design and build sustainable projects for the city.

ACC has identified areas where new projects would help the city and community. Students get to be creative by brainstorming and developing their ideas. I wish I could have had access to something like this when I studied at RGU.

Some of the projects going through this scheme are smart tiles that generate electricity by people walking on them to power traffic lights, smart school busses with teaching capacity, and smart signage.

Seeing How Digital Services Are Designed

I can't say too much but help came from a design agency called Screen Media. It was great being able to work with these guys and get an insight into the whole web design process.

A lot of thought goes into layout, colours, and accessibility. I was well impressed with the draft and excited to be involved with the process so far. It also goes to show there is a lot more to good web design than code and a bit of CSS. Looking back now, this was probably one of the first times I really started appreciating how much user experience, accessibility, structure, and communication matter in digital services.

I will keep you posted when it goes live.

What Stayed With Me

Looking back, this period feels like the start of a major shift in how I thought about technology.

I was moving away from purely physical engineering problems and becoming increasingly interested in systems, usability, accessibility, and how technology shapes everyday public services.

The pics this week are not mine (I wish) I found them on display at the Brewdog next door to Marischal College. They are part of an Aberdeen Star Wars Exhibition. Thought they were cool, and as ever I forgot to note who the artist is. I like them though.

This also connects closely to my reflections on visual thinking and systems thinking.

A lot of the same ideas around simplicity and usability also appear in my post about technology overcomplication.

The transition into digital work also links naturally to my reflections on changing career into software development.

I’m still fascinated by how technology, systems, and design affect the way people interact with services every day.

A lot of the work I do now still centres around simplifying systems and improving digital experiences.
